Requirements
- Proven experience in receptionist, customer support, or administrative roles (virtual experience preferred)
- Familiarity with CRM platforms (ServiceTitan, ServiceBridge, or similar)
- Strong phone etiquette and ability to handle multiple calls/messages simultaneously
- Excellent written and verbal communication skills in English
- Ability to work independently, manage time effectively, and handle confidential information
- Tech-savvy with experience using communication tools such as RingCentral, email platforms, and cloud-based software
- Willingness to learn new tools and processes
Responsibilities
- Answer incoming calls via RingCentral, transfer calls, and ensure no calls are missed
- Respond to and manage incoming text messages professionally and promptly
- Perform light administrative tasks, including: Email management (sorting, responding, forwarding, and organizing)
- Calendar management (scheduling and rescheduling appointments)
- Sending reminders to clients and team members
- Assisting with minimal scheduling tasks for field staff
- Utilize a CRM system (ServiceTitan, ServiceBridge, or similar) to: Dispatch service technicians
- View and manage schedules
- Update client information and service notes
- Assist with light task/report writing (training provided)
- Collaborate with the team to ensure smooth daily operations
- Maintain professional communication with clients and internal staff
Preferred Qualifications
- Previous experience with service-based companies (e.g., construction, home services) is a plus
- Knowledge of dispatching procedures and customer scheduling workflows
