Summary

Join our client, a leading platform for enterprise shared asset management, as an Admin Assistant providing essential support to the leadership team. This fully remote position requires managing calendars, Notion workspaces, Google Drive, and coordinating tasks. You will ensure smooth internal operations, facilitate communication, and prepare documents. Success involves efficient scheduling, organized systems, and proactive support. The ideal candidate has 2+ years of administrative experience, strong tech skills, and exceptional organizational abilities.

Requirements

  • 2+ years as an administrative assistant or in a similar support role, ideally working with leadership teams
  • Strong skills in Google Workspace (Docs, Sheets, Drive, Calendar) and Notion
  • Exceptional attention to detail and ability to manage multiple priorities effectively
  • Excellent written and verbal communication skills
  • Ability to work independently, take initiative, and thrive in a remote environment

Responsibilities

  • Organize and manage the leadership team’s schedules
  • Coordinate meetings
  • Handle appointments across multiple time zones
  • Maintain structured Notion workspaces, ensuring seamless access to critical information, project updates, and workflows
  • Maintain a clean and well-structured Google Drive, categorizing files, managing document access, and ensuring easy retrieval of important assets
  • Assist leadership with task tracking, prioritization, and deadline management
  • Act as a bridge between the leadership team and internal stakeholders, ensuring effective communication and follow-ups
  • Create, format, and edit reports, presentations, and internal documentation
  • Provide general administrative support, including research, data entry, and operational organization

Preferred Qualifications

  • Prior experience working in a fully remote team
  • Familiarity with Zapier or similar automation tools
  • Experience with Asana, Trello, or other task management tools
  • Previous experience supporting leadership teams with scheduling and operations
