Requirements

  • Bachelor’s degree in Business Administration, Secretarial Administration, or a related field
  • 1-3 years of experience in similar functions
  • Fluency in English and Portuguese
  • Legal and regulatory awareness
  • Attention to detail
  • Ability to learn fast
  • Proactive problem-solving skills
  • Exceptional organisational skills
  • Flexibility, adaptability and high autonomy level
  • Ability to work in a team
  • Ability to work and experiment with different tools and methodologies

Responsibilities

  • Support the preparation of contracts, addendums and other legal documents
  • Support the monthly payroll with the collection and organisation of information and related administrative tasks
  • Execute and support administrative tasks related to the onboarding process of new employees
  • Verify, maintain and execute administrative tasks to keep all employee information up to date
  • Handle the communication with external providers such as insurance companies, occupational health, and others
  • Coordinate and assure the compliance with the workplace medicine requirements
  • Provide support in organising business trips
  • Assets procurement and management
  • Support in administrative tasks related to office operations
  • Prepare mandatory information to comply with legal requirements
  • Create and follow processes and fulfil responsibilities
  • Support the verification and confirmation of invoices
  • Prepare information for invoicing
  • Provide accurate and timely accounting information to UK and Polish teams

Preferred Qualifications

  • Experience in remote work environments
  • Experience with different tools such as Google Workspace, Excel, Slack and Jira
