Summary
Join Included Health as an Administrative Assistant, providing remote support to two SVPs in Engineering and Product. You will manage their daily needs, anticipate upcoming requirements, and coordinate meetings, events, and travel. Requirements
- Minimum of 3+ years of recent, full-time administrative support, reporting to 1 or more executives (within last 3-5 years)
- 3+ years of managing the calendar, expenses, and travel of executive or similar level
- Expertise in using Google Suite, Slack, Workday, and Mac products
- Prior experience concurrently managing calendars and priorities for senior leaders
- Collaborative approach to working across internal partners
- Oversee competing projects simultaneously by managing tasks systematically
- Excel in a dynamic setting with frequent changes, flex to changing priorities, and anticipate new challenges and technologies
- Prompt and regular attendance at assigned work location
- Capability to remain seated in a stationary position for prolonged periods
- Eye-hand coordination and manual dexterity to operate keyboard, computer and other office-related equipment
- No heavy lifting is expected, though occasional exertion of about 20 lbs of force (e.g., lifting a computer/laptop) may be required
- Capability to work with leadership, employees, and members
- Travel required at least once per quarter
Responsibilities
- Manage the daily needs and requests from the SVPs, anticipating upcoming needs in advance
- Develop a general understanding of the team's function, goals, and priorities β so your support can be strategic and informed
- Respond to calendar scheduling requests meeting coordination
- Coordinate meeting, event, and offsite logistics (catering, travel, logistics, and communications)
- Compile, submit, and track expenses in Workday and process Purchase Orders
- Schedule interviews with recruiting
- Partner with other Executive Assistants for coordination and provide additional support/backup
- Maintain confidentiality with sensitive information
