Summary
Join Unlock Health as an AP Specialist and manage the entire vendor payment process, ensuring timely and accurate processing of invoices and payments. You will review and verify invoices, obtain approvals, process them in the accounting system, maintain vendor records, and prepare weekly check runs. Responsibilities also include responding to vendor inquiries, managing accounts payable aging, following up on outstanding checks, maintaining reports, assisting with reconciliations and audits, and handling 1099 reporting. The ideal candidate possesses strong attention to detail, organizational skills, and tech-savviness. This role reports directly to the AP Manager.
Requirements
- Associateβs degree in Accounting or 2+ years AP experience
- Strong Excel skills and familiarity with collaborative tools (e.g. Slack, Zoom, Outlook)
Responsibilities
- Download PDF invoices from AP email inbox and vendor portals to be saved in appropriate folders
- Review, verify and obtain digital approvals for invoices and ensure proper documentation
- Process invoices accurately and efficiently in the accounting system
- Maintain vendor records, including W9 forms, payment type and contact information
- Prepare weekly check runs that include ACH, Wire, credit card and checks
- Respond to vendor inquiries and resolve payment issues promptly
- Manage Accounts Payable aging to ensure vendor invoices are paid timely
- Follow up on outstanding checks
- Maintain monthly AP reports
- Assist with daily cashbook reconciliation
- Assist with audits and provide supporting documentation as needed
- 1099 reporting
Preferred Qualifications
- Maintain a strong attention to detail and organizational skills within a fast-paced environment
- Strong communication skills, both written and verbal; and ability to work effectively across time zones
- Must be results oriented with the ability to balance multiple projects and meet deadlines
- Is self-motivated and has the ability to function independently
- Knowledge of 1099 reporting and basic tax compliance
- Experience with NetSuite and Workamajig advertising agency accounting software a plus
