Requirements
- 6+ years of progressive benefits experience across areas of design, implementation, management, and administration preferably in a fast-paced, mid-size scaling global environment
- Past experience working with EoR partners and managing TPA vendors
- Strong knowledge of leave of absence compliance issues across multiple locations
- Minimum of 3-5 years working in a global environment supporting international employees
- Bachelor degree in a related field
- Highly analytical with ability to resolve complex administrative and accounting issues
- Strong organization and multitasking capability, with the ability to thrive in a fast-paced environment
- Good project management and critical thinking skills
- Strong communication skills and the ability to influence within all levels of the organization
- Demonstrated experience using database and reporting systems
- Must be highly proficient with Google office suite, slack, notion and carrier portal systems
Responsibilities
- Manage Programs including Health & Welfare, Retirement, Income Protection, Time Off, and Wellness for a global remote organization
- Ensure the accurate, consistent, and compliant administration of global leave and disability programs in alignment with established policies, procedures, and applicable laws and regulations
- Coordinate the leave of absence and salary supplement processes in collaboration with third-party administrators and internal departments to maintain seamless operations
- Be a key liaison between EoR partners and EoR team members in the Americas and APAC for benefits issues
- Develop and conduct new hire onboarding and annual benefits open enrollment, including configuring and testing enrollment systems
- Recommend plan design changes as needed, implement new vendors, create supporting communication materials, and lead informational meetings to ensure a seamless process
- Prepare data submissions for compliance and documentation purposes including 5500 filings, non-discrimination testing, applications, and audits
- Create an annual communication plan to promote program awareness and organize special events, including the annual wellness fair and engaging lunch-and-learn sessions
- Stay up-to-date on regulatory requirements and ensure compliance for global benefit plans
- Collaborate with the EoR to address and resolve employee benefits concerns and inquiries in a timely manner
- Implement TPA for leave of absence in the US to ensure quality transition and program management
- Collaborate with vendors to identify automation opportunities that streamline daily processes by leveraging system capabilities
- Monitor global benefit enrollments, terminations, changes in coverage, and beneficiaries
- Ensure accurate premium billing statements are processed in a timely fashion
- Respond to employee benefit inquiries and resolve issuesΒ Monitor slack channels and email to address employee inquiries and provide prompt resolution to any benefit related issues
- Manage vendor relationships, evaluate performance metrics, and identify opportunities for optimization
- Develop and update procedural documentation and maintain/create/update planning calendars to ensure accuracy and organization
- Maintain and update company information resources, including the intranet and recruiting materials, to ensure accuracy and relevance
- Conduct special ad hoc domestic and international benefits projects / analyses
- Coordinate with payroll during employee leaves to ensure accurate payroll runs
- Maintain accurate benefits materials and present new hire orientation on US benefits
- Manage employee onboarding and offboarding in broker , enrollment and carrier portals ensuring timely updates to coverage for employees
