Summary

Join our marketing team as a motivated and detail-oriented Event Coordinator to research and coordinate high-volume events, utilizing excellent organizational skills and a proactive attitude.

Requirements

  • Strong organizational and time-management skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Keen attention to detail, ensuring all aspects of events are meticulously planned and executed
  • Excellent verbal and written communication skills, capable of interacting professionally with diverse groups
  • Collaborative attitude with the ability to work effectively within a team and independently when necessary
  • Ability to adapt quickly to changing circumstances and solve problems creatively
  • Willingness to work non-traditional hours, including evenings and weekends, based on event schedules

Responsibilities

  • Plan and execute a wide variety of events, including scheduling, logistics, vendor management, and on-site coordination
  • Research city demographics to ensure there is a wide target audience within a particular city that meets our ideal customer profile
  • Ensure all event logistics are coordinated efficiently, including venue selection, catering, audiovisual requirements, and transportation
  • Serve as the main point of contact for event stakeholders, including clients, vendors, and internal teams, ensuring clear and timely communication throughout the planning process
  • Assist in budget management, tracking expenses, and ensuring events are within budget constraints
  • Be willing to travel occasionally to oversee and support events as required
  • Conduct post-event evaluations to assess successes and identify areas for improvement
  • Maintain accurate records, contracts, and documentation related to events. Create landing pages for each event and monitor attendance

Preferred Qualifications

  • Previous experience in event coordination, hospitality, or customer service roles is a plus
  • Familiarity with event management software (e.g., Lu.ma, Cvent, Eventbrite, etc.) and Microsoft Office Suite (Word, Excel, PowerPoint)
