Requirements

  • Four or more years of experience in planning, coordinating, and executing events as a primary event manager
  • Three or more years of experience in leading/overseeing project management of diverse events including virtual and in-person experiences
  • Two or more years of experience in building virtual event environments (we use Cvent/Zoom)

Responsibilities

  • Develop and manage detailed event plans for in-person and virtual events, ensuring all aspects of the event are meticulously organized
  • Collaborate with internal teams, stakeholders, and external vendors to align on event goals, objectives, budgets, and timelines
  • Identify suitable event formats and platforms for virtual events (e.g., Zoom, CVENT, etc.) and ensure seamless integration
  • Negotiate contracts with venues, vendors, and suppliers for in-person events
  • Manage the speaker relationships, which require collection of deliverables, providing technical support and rehearsals, and more
  • Oversee registration processes and ensure timely communication with attendees before, during, and after events
  • Coordinate and manage the logistics of in-person events, including venue selection, catering, audiovisual needs, signage, and guest accommodations
  • For virtual events, manage online platforms, monitor technical setups, and troubleshoot issues to ensure smooth delivery of our events
  • Manage event day operations to ensure timely setup, smooth execution, and efficient breakdown
  • Oversee the technical production of virtual events, including ensuring that presentations, speakers, and materials are properly loaded and functioning
  • Assist Director of Production with Event Portfolio management, including innovation work, planning, and budgeting
  • Facilitate teams and stakeholders in aligning event strategy with organizational goals
  • Collaborate with teams to define event objectives and key performance indicators to measure success
  • Coordinate multiple events simultaneously, ensuring milestones are met and risks are mitigated
  • Lead cross-functional teams in event planning and execution including production, marketing, alliances, and communities
  • Generate Project Charter and use it throughout the life of the project to govern the rules and norms of the team
  • Schedule and coordinate team meetings
  • Create and manage a schedule to monitor and track progress
  • Work with members of the team to identify and eliminate blockers
  • Provide progress reports at the required frequency
  • Establish and maintain relationships with key stakeholders
  • Conduct risk mitigation planning
  • Coordinate and plan on-site staffing assignments, training, and support
  • Track the progress of the budget throughout the planning and execution of the project, coordinating all team’s expenses and revenue
  • Conduct retrospectives at the close of a project and share findings with key stakeholders
