Join our team as a high-capacity Executive Assistant to support a 5x tech entrepreneur, author, venture capitalist, and keynote speaker. This dynamic role blends executive support with project execution, systems thinking, and exposure to venture capital, public speaking, and business building. You will manage a fast-paced calendar, book complex travel, field communications, and draft correspondence. You will also lead special projects, build workflows, and identify efficiency opportunities. The role includes supporting high-level meetings, tracking action items, and translating ideas into structured plans. Finally, you will manage office systems, support HR and finance processes, and coordinate event logistics.
Requirements
- Are extremely detail-oriented and excellent at precision follow-through
- Are a natural systems thinker who can break down complexity into elegant execution
- Love the blend of big picture + precision—you can spot a typo and organize a board meeting in the same day
- Are curious, tech-savvy, and deeply comfortable with modern productivity tools and automation—including using AI to increase efficiency, unlock capacity, and generate net-new ideas
- Are hungry to learn, humble in your approach, and motivated by growth
- Have a no-task-too-small attitude and thrive in high-energy, fast-moving environments
- 2–5 years of experience in executive support, operations, or chief-of-staff-like roles
- Strong capability in modern productivity and communication tools (Google Workspace, HubSpot, Slack, etc.)
- Excellent verbal and written communication, discretion, and time management
- Proven ability to handle ambiguity and juggle competing priorities with grace
Responsibilities
- Own and optimize a fast-moving, ever-changing calendar—balancing speaking engagements, board meetings, venture-related work, and media opportunities
- Book and manage complex travel, across time zones, with precision and proactive thinking
- Field inbound communications, prioritize what matters, and ensure nothing slips through the cracks
- Draft correspondence, prepare briefing materials, and support day-to-day execution at the highest level
- Lead and support business and personal special projects from start to finish—bringing structure, follow-through, and calm to the chaos
- Build and maintain streamlined workflows, leveraging tech and tools
- Proactively identify opportunities to increase efficiency and give time back to the executive
- Provide behind-the-scenes support for high-level meetings, including board meetings, investor discussions, keynote prep, and venture-related engagements
- Track follow-ups, action items, and deliverables that arise from strategic conversations—and ensure they’re executed with excellence
- Help translate ideas into structured plans and next steps, enabling faster decisions and greater momentum across ventures
- Act as an extension of Josh in managing critical priorities and building capacity for high-impact work
- Help manage office systems, digital filing, and administrative workflows
- Support HR and finance processes (vendor coordination, expense reports, onboarding)
- Coordinate logistics for events, team meetings, and offsites
Preferred Qualifications
Bonus points for experience in startups, venture capital, media, or fast-paced environments
