Requirements

  • Based in the US East Coast time zone, collaborating with colleagues primarily in the US and Europe
  • Over 5 years’ experience as an Executive Assistant supporting multiple SVP-level executives in a fast-paced tech environment
  • Bachelor’s degree or equivalent experience preferred, with strong organizational and multitasking skills
  • Proven ability to manage complex calendars and travel arrangements with great attention to detail
  • Excellent written and verbal communication skills, with professionalism across all organizational levels
  • Proficient in Google Office, Microsoft Office Suite, and other relevant software; able to maintain confidentiality and adapt to changing priorities

Responsibilities

  • Manage and maintain complex calendars for multiple SVP-level executives, including scheduling and rescheduling meetings and events
  • Coordinate travel logistics for senior executives, covering accommodations, transportation, and meals, while ensuring cost-effectiveness and policy compliance
  • Prepare and organize materials for meetings, presentations, and conferences, such as agendas and supporting documents
  • Serve as a primary contact for internal and external stakeholders, facilitating communication between executives and departments
  • Plan and execute logistics for onsite and offsite meetings, events, and conferences, including catering, audiovisual setup, and attendee coordination
  • Assist with special projects, handle confidential information with discretion, and provide general administrative support like managing expense reports and invoices
