Summary

Join Fandom as an Executive Assistant and provide high-level support to the CHRO and CFO in a dynamic, fast-paced, and rewarding remote-first role based in San Francisco. You will manage calendars, travel, expenses, and meetings; prepare for meetings by conducting research and gathering materials; provide organizational support by tracking action items and deadlines; take meeting minutes and coordinate follow-up actions; arrange corporate and special events; act as a point of contact between executives and internal/external stakeholders; assist in coordinating special projects; track progress on key initiatives; support in preparing presentations and reports; facilitate cross-functional collaboration; identify opportunities for process improvements; and work closely with key leaders. The ideal candidate possesses 5+ years of experience supporting C-level executives, strong communication and organizational skills, and the ability to thrive in a high-pressure environment. Requirements

  • 5+ years of experience supporting C-level executives
  • Strong interpersonal, oral, and written communication skills, with the ability to influence and build relationships
  • Exceptional organizational, time management, and multitasking abilities, effectively handling multiple high-priority tasks
  • Highly proactive, resourceful, and able to anticipate and solve problems independently
  • Ability to thrive in a fast-paced, high-pressure environment, remaining adaptable and composed under stress
  • Detail-oriented with strong strategic thinking skills, ensuring priorities are effectively managed
  • Tech-savvy with expertise in G Suite (Google Cloud) and project management tools
  • A natural problem solver who takes initiative, drives change, and seeks efficiency improvements
  • High level of discretion and integrity in handling sensitive and confidential information
  • Intensely driven, proactive, and entrepreneurial-minded, always striving to improve processes and outcomes
  • Maintain an organized workflow, ensuring inbox zero and clear communication channels by the end of each day

Responsibilities

  • Manage the CHRO’s and CFO’s daily calendar, travel arrangements, expenses, meetings, and event logistics
  • Prepare the CHRO and CFO for upcoming meetings by conducting research, preparing reports, and gathering necessary materials
  • Provide organizational support by tracking action items, deadlines, and deliverables, ensuring follow-through
  • Take detailed meeting minutes, coordinate follow-up actions, and maintain records of key interactions with clients, partners, and internal stakeholders
  • Arrange corporate and special events, including leadership offsites, all-hands meetings, and industry engagements
  • Act as the point of contact between the CHRO and CFO and employees, clients, and partners, ensuring effective communication and seamless information flow
  • Assist in coordinating special projects that support Human Resources and/or G&A strategies and operations
  • Help track progress on key initiatives, ensuring accountability and timely execution
  • Support the CHRO and CFO in preparing internal and external presentations, executive reports, and board materials
  • Facilitate cross-functional collaboration by ensuring key priorities and objectives are communicated effectively
  • Identify opportunities for process improvements that enhance team efficiency and organization
  • Work closely with key functional leaders and partners to help ensure smooth execution of CHRO and CFO-led initiatives

Preferred Qualifications

  • Prior experience assisting a CEO, CHRO or CFO is a plus
  • You have a strategic mindset while being execution-focused —able to balance both short-term priorities and long-term vision
  • You thrive on bringing order and organization , ensuring the CHRO’s and CFO’s offices run seamlessly
  • You anticipate challenges, solve problems before they arise, and operate with a high degree of independence
  • You have a deep passion for Human Resources and G&A organizations and an interest in HR, Finance, Corporate Development and business strategy
  • You’re an influential team player who builds strong relationships and effectively communicates across the company
