Summary

Join our team as a proactive and highly organized Executive Assistant to support our Founder and CEO. You will play a key role in streamlining operations and ensuring smooth day-to-day management as the business expands. Responsibilities include handling phone calls, scheduling appointments, managing email communications, maintaining the CRM (HubSpot), and assisting with administrative tasks. This is a full-time, remote role requiring a high level of independence, attention to detail, and strong organizational skills. The ideal candidate will have 3+ years of experience as an Executive Assistant and experience with Salesforce. Requirements

  • 3+ years of experience as an Executive Assistant, Administrative Coordinator, or in a similar role
  • 3+ years of experience with SalesForce
  • Strong experience in phone and email management, calendar coordination, and CRM data entry
  • Proficient in HubSpot, Trello, SalesForce or similar CRM and project management tools
  • Proficient in Microsoft Excel, including data analysis, reporting, and spreadsheet management
  • Excellent written and verbal communication skills
  • Ability to handle financial tasks, including managing expense reports, regional P&L updates, and generating Salesforce reports regularly
  • Ability to take initiative, solve problems independently, and implement efficient workflows
  • Strong organizational and time management skills
  • Familiarity with basic bookkeeping and reporting
  • Reliable high-speed internet, a modern laptop with a multi-core processor, and a noise-canceling headset

Responsibilities

  • Handle incoming calls, ensure timely responses, and manage call logs
  • Organize and schedule meetings and keep the executive informed of upcoming appointments
  • Oversee inbox triage, draft and review emails, and maintain a system for prioritizing key messages
  • Assistance in managing a busy calendar filled with internal and external meetings, ensuring all relevant details are included in calendar invites, and helping to avoid double bookings
  • Update and maintain SalesForce. Skills related to managing data from Salesforce, generating reports, and ensuring that important financial information is organized and accessible
  • The ability to delegate tasks effectively, including managing communications with clients and team members, and ensuring that tasks are assigned to the right individuals
  • Assist with document organization, mail management, and basic reporting
  • Help establish efficient workflows and implement best practices for managing executive responsibilities
  • Support business growth by coordinating initiatives, tracking key tasks, and ensuring deadlines are met
