Summary

Join Fundraise Up as an Executive Assistant and provide comprehensive administrative and operational support to three C-level executives. You will coordinate complex scheduling, manage domestic and international travel, prepare agendas and meeting minutes, and serve as a liaison between executives and stakeholders. This role requires strong organizational and time management skills, advanced proficiency in various software applications, and the ability to handle confidential information discreetly. The ideal candidate will have at least 5 years of experience as an Executive Assistant, preferably in a high-performing start-up environment. Requirements

  • Strong command of the English language, both written and verbal, with a professional tone and attention to detail
  • At least 5 years of experience as Executive Assistant, preferably in a high-performing start-up environment
  • Proven ability to handle confidential information with discretion
  • Strong organizational and time management abilities
  • Advanced proficiency in Slack, Notion, Asana, Excel, Google Suit
  • Demonstrated ability to manage multiple priorities with a calm and positive attitude
  • Advanced organizational abilities with the capacity to manage several complex projects in tandem
  • Quick learner with a knack for technology, who can figure out new systems and adapt on the go
  • Ability to complete daily tasks with little to no direction

Responsibilities

  • Coordinate complex scheduling and meeting arrangements across time zones for three executives; anticipate and resolve conflicts
  • Plan and manage domestic and international travel including flights, accommodations, ground transportation, and detailed itineraries
  • Prepare agendas, take and distribute minutes, manage logistics, and follow up on action items
  • Serve as a liaison between the executives and internal/external stakeholders; draft, proofread, and manage high-level correspondence
  • Assist in the execution of strategic projects, maintaining timelines, tracking deliverables, and ensuring deadlines are met
  • Organize and maintain confidential files and records; prepare reports, presentations, and briefing materials
  • Process and reconcile expense reports, corporate credit card usage, and vendor invoices in a timely manner
