Requirements

  • Currently enrolled in a relevant degree program (Business Administration, Office Management, etc.) or recent graduate
  • Strong organizational and time-management skills
  • Excellent communication skills, both written and verbal in English and Spanish
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Detail-oriented and able to multitask in a fast-paced environment
  • Professional demeanor and the ability to handle confidential information with discretion

Responsibilities

  • Assist in day-to-day office operations, including running errands, making calls, taking notes, managing emails, and handling general inquiries
  • Maintain a clean and organized office environment
  • Assist in the preparation and organization of documents, reports, and presentations
  • Input and update data in various databases and systems
  • Maintain accurate and organized records of important documents
  • Assist in scheduling appointments, meetings, and events
  • Coordinate logistics for meetings, including room setup, catering, and technology requirements
  • Booking travel (flights, transportation, meals, accommodations, etc.)
  • Draft and edit correspondence, emails, and other documents as needed
  • Assist in internal and external communication, ensuring accuracy and professionalism
  • Taking the minutes and notes during meetings, preparing the official documents for such, distributing the minutes/notes and following up on action items
  • Support ongoing projects by providing administrative assistance and coordination
  • Assist in research and data collection for various projects
  • Monitor and replenish office supplies as needed
  • Keep track of inventory and place orders when necessary
  • Assist with additional tasks and projects as required to support the overall functioning of the office
