Requirements

  • Minimum of 2+ years of experience as an executive assistant or similar role
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Exceptional organizational and time-management skills
  • Excellent communication skills, both written and verbal - Bilingual in English and French
  • Ability to handle multiple tasks and priorities in a fast-paced environment
  • Professional demeanor with strong judgment and discretion
  • Strong sense of discretion and rigor in handling confidential information
  • Able to adapt your schedule from time to time with both Pacific Standard Time and Eastern Standard Time

Responsibilities

  • Manage executive schedules and coordinate appointments, meetings, and travel arrangements
  • Prepare and edit correspondence, reports, and presentations
  • Handle confidential information with professionalism and discretion
  • Maintain and organize emails, files and records
  • Assist in project management and track progress on various initiatives
  • Act as a liaison between executives and other departments
  • Prepare regular reports on the progress of initiatives and propose appropriate solutions as needed
  • Support in organizing company events and workshops
  • Manage certain aspects of the CEO's daily life (e.g., personal appointments) to ensure optimal alignment with professional obligations
  • Anticipate the CEO's needs and propose reactive solutions in the event of unforeseen circumstances or urgent requests
