Requirements

  • 2 or more years experience as an Executive Assistant or Virtual Assistant, preferably in a tech startup or fast-paced environment
  • Proficient in GSuite and Notion for managing calendars, documents, and project tracking
  • Strong organizational and time management skills to handle complex scheduling and prioritize tasks effectively
  • Excellent communication skills, both written and verbal, with native-level fluency in English
  • Tech-savvy with a quick ability to learn new tools and adapt to changing needs

Responsibilities

  • Manage the CEO’s calendar and coordinate with the five founders for availability
  • Schedule meetings, set timely reminders, and ensure all events are prioritized
  • Handle last-minute changes or conflicts with efficiency and professionalism
  • Arrange domestic and international travel for the CEO, including flights, accommodations, and transportation
  • Prepare detailed travel itineraries and ensure all necessary arrangements are in place
  • Handle changes in travel plans and any required adjustments
  • Assist with ad-hoc projects, such as tracking expenses, processing invoices, and providing research support
  • Manage logistics for internal team events, company-wide meetings, and conferences
  • Support the CEO with additional operational tasks as needed
