Summary

Join RYZ Labs as a highly organized and proactive Executive Assistant, working remotely within Argentina, to support the COO of one of our clients. You will manage calendars, communications, and travel arrangements, while also contributing to project management and process improvement initiatives. This role requires strong communication, project management, and organizational skills, along with experience in developing and implementing Standard Operating Procedures (SOPs). Requirements

  • Have a bachelorโ€™s degree or equivalent experience
  • Have 3+ years of experience as an Executive Assistant, preferably in a startup or high-growth environment
  • Possess strong project management skills with experience using tools like Asana, Monday.com, or Trello
  • Have excellent verbal and written communication skills in English
  • Be highly organized with exceptional attention to detail
  • Be proficient in Microsoft Office Suite and Google Workspace
  • Have the ability to work independently and anticipate needs without constant supervision
  • Have the ability to work in a fast-paced environment
  • Have experience in process development and implementing SOPs
  • Have a proactive mindset with a strong sense of ownership and problem-solving ability
  • Be a team player that has a can-do-anything mentality

Responsibilities

  • Manage and coordinate the COOโ€™s calendar, meetings, and travel arrangements and assist with other team members when needed
  • Handle email correspondence, prioritize tasks, and draft responses as needed
  • Assist with project management by tracking progress, setting deadlines, and following up on deliverables
  • Develop, maintain, and enforce Standard Operating Procedures (SOPs) for various administrative and operational processes
  • Support internal and external communications, including presentations, reports, and stakeholder correspondence
  • Conduct research and provide insights to assist in decision-making and strategic planning
  • Manage and organize documents, contracts, and confidential company files
  • Assist in event planning, team coordination, and company-wide initiatives
  • Identify and implement process improvements to enhance efficiency and productivity
  • Upload and manage Ramp receipts for expense tracking
  • Schedule meetings and ensure alignment with priorities
  • Assist with following up with customers on unpaid invoices
  • Conduct monthly reviews of Quickbooks Invoices and Recess Platform to ensure accuracy
  • Create and assign weekly meeting tasks in Asana
