Summary

Join our theatre investment and production company as a highly organized and proactive Executive Assistant/Bookkeeper! This part-time, remote position (20 hours/week, PST) requires managing investor relations, maintaining financial records, streamlining operations, and ensuring smooth production execution. You will handle confidential investor communication, manage financial data using a relational database, update our website (Squarespace), and provide general administrative support. Database experience, excellent communication skills, and proficiency in various software are essential. A passion for theatre and social media/marketing experience are beneficial.

Requirements

  • Strong understanding of bookkeeping principles and the ability to track financial data and generate summaries
  • Demonstrable proficiency in word-processing, spreadsheets, presentation, cloud-storage, and data software (Google Suite and MSO Suite)
  • Excellent written and verbal communication skills, with experience in email correspondence and creating professional investor updates
  • Strong relational database management skills
  • Familiarity with Squarespace or similar platforms; experience in updating and maintaining website content
  • Ability to learn new tools, systems, and processes to improve efficiency
  • Initiative to recommend and implement improved workflows or software
  • Detail-oriented with a commitment to accuracy
  • Ability to work independently while maintaining regular communication

Responsibilities

  • Treat confidential information with discretion and maintain the highest level of professionalism
  • Professionally manage email correspondence with investors synthesizing updates into concise, accurate reports
  • Ensure timely communication and delivery of updates, reports, and financial summaries
  • Maintain detailed records of investor participation, contributions, and returns, ensuring accuracy and transparency
  • Monitor and organize investor contributions and returns
  • Understand bookkeeping principles and track financial data
  • Create and maintain a relational database to generate organized, clear financial summaries
  • Lead the migration and management of company data to a new relational database system
  • Store all producer, investor, and production information and supporting files for easy online access
  • Evaluate and suggest alternative tools/software to optimize processes
  • Implement improved workflows and systems to enhance efficiency
  • Periodically update the company's website (using Squarespace), including production information and event details
  • Ensure the website remains up-to-date, functional, and aligned with the brand’s goals
  • Provide general administrative support, such as scheduling meetings and managing correspondence

Preferred Qualifications

  • Passion for theatre is a plus!
  • A passion for theatre and social media/marketing experience are a plus
