Requirements

  • 6+ years of experience as an Executive Assistant, Personal Assistant, or similar role, with experience supporting C-level executives in a fast-paced, mission-driven environment
  • Proven ability to manage complex schedules, priorities, and projects under tight deadlines
  • Strong written and verbal communication skills, with the ability to adapt to different communication styles across the leadership team and clients
  • A proactive mindset with a track record of creating and improving business processes
  • Familiarity with GSuite, Office 365, Chat GPT, project management tools, and social media platforms
  • Ability to work independently and remotely, with excellent time-management and organizational skills
  • Experience in marketing and social media, with the ability to maintain a professional online presence

Responsibilities

  • Act as a gatekeeper for the CEO by managing calendars, prioritizing tasks, arranging travel, and preparing meeting agendas
  • Provide both professional and personal support, ensuring smooth coordination of work and home life, anticipating needs, and triaging any unexpected challenges
  • Maintain high-level investor relations documentation, including board decks and fundraising materials
  • Prepare concise and clear correspondence, presentations, and reports on behalf of the CEO
  • Manage communication with internal and external stakeholders, serving as a liaison for the CEO & CTO
  • Oversee and manage the CEO and CTO’s dynamic calendars, prioritizing appointments, ensuring adequate preparation for meetings, and balancing competing priorities
  • Coordinate scheduling across different time zones with internal and external stakeholders, ensuring alignment and minimal overlap
  • Proactively schedule and reschedule meetings, flagging conflicts, and ensuring optimal use of the executives’ time
  • Regularly provide the CEO and CTO with updates on upcoming meetings, deadlines, and travel
  • Track long-term goals and initiatives, ensuring key meetings and milestones are highlighted on the calendar
  • Organize complex travel itineraries for both domestic and international trips
  • Researching, booking, and confirming flights, accommodations, and transportation based on executive preferences
  • Preparing detailed travel itineraries, including meeting times, locations, travel times, and any necessary local details (e.g., restaurants, airport logistics)
  • Managing visa applications, travel documents, and maintaining records of past travel
  • Coordinate any last-minute changes, cancellations, or updates, ensuring smooth transitions
  • Track key deliverables, ensure daily tasks are prioritized, and support delegation to ensure work is distributed effectively across the leadership team
  • Work closely with the Chief of Staff to support executive priorities, special projects, and strategic initiatives
  • Document detailed and accurate meeting notes, translate discussions into action items, and follow up as necessary
  • Provide administrative support to CEO, and as needed, the Co-Founder and CTO, ensuring that the CEO & CTO’s time are effectively managed and optimized
  • Serve as the first point of contact for potential clients and investors, ensuring they are greeted and assisted professionally
  • Collaborate with cross-functional teams and coordinate projects that contribute to the overall success of the company’s mission

Preferred Qualifications

  • Paralegal or legal research experience
  • Prior experience supporting executives in a VC-backed startup
