Summary

Join 20four7VA as a CPT-8458 Executive Virtual Assistant! This Junior-level, 10+ hour/week remote position supports an HR industry client. Responsibilities include calendar and email management, billing and invoicing (using Bonsai), task and document organization, and general administrative support. You'll need experience in an executive or virtual assistant role, strong organizational skills, proficiency in Google Suite and Bonsai (or similar), and the ability to manage multiple priorities. Preferred skills include multitasking, effective time management, and excellent communication. Requirements

  • Have experience as an Executive Assistant, Virtual Assistant, or in a similar administrative role
  • Possess strong organizational and time-management skills
  • Be proficient in email and calendar management (Google Suite preferred)
  • Be familiar with Bonsai software or similar invoicing tools
  • Be able to work independently and manage multiple priorities
  • Maintain a high level of confidentiality and professionalism
  • Be knowledgeable in MS 365
  • Be knowledgeable in Bonsai or similar software
  • Have experience with Microsoft Office Suite (Word, PowerPoint, and Excel)
  • Have experience with Google Applications (Google Docs, Google Sheets, Google Form, Google Slide, etc), cloud services, and other technology tools
  • Have experience with any CRM
  • Have experience with any project management application

Responsibilities

  • Schedule and organize meetings, set reminders, and ensure appointments are not missed
  • Monitor, prioritize, and respond to emails across multiple accounts
  • Assist with invoicing using Bonsai software and send payment reminders
  • Maintain digital files and keep essential records up to date
  • Provide assistance with business operations, including reminders for bill payments and managing small tasks as needed

  • Be able to manage time effectively and efficiently
  • Be able to organize and manage large amounts of files, tasks, schedules, and information
  • Be self-directed and able to work without supervision
