Requirements
- Minimum of 3 years of experience as an Executive Assistant to C-levels (CEO, COO etc)
- At least 3 years of experience as an executive assistant or in a similar administrative role
- Strong organizational and time-management skills
- Excellent English communication skills: Reading : High proficiency for reviewing detailed documents. Writing : High proficiency for drafting professional correspondence. Speaking : Clear and professional communication with clients and team members
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with project management software
- Ability to work independently and handle multiple tasks with a high degree of accuracy
- High attention to detail and problem-solving skills
- Tech-savvy with knowledge of cloud-based systems and virtual communication tools

- Computer with at least 1.8 GHz processor and at least 4GB RAM
- Main Internet Service Speed: at least 25 Mbps cable connection

Responsibilities
- Manage and coordinate executive calendars, scheduling meetings, appointments, and travel arrangements
- Prepare and edit correspondence, reports, and presentations specific to construction projects
- Handle confidential information with discretion, ensuring compliance with industry regulations
- Assist in organizing and maintaining project documentation, contracts, and permits
- Coordinate communication between executives, clients, subcontractors, and on-site teams
- Monitor project timelines and deliverables, providing updates to executives as needed
- Conduct research related to construction materials, vendors, and industry best practices
- Manage expense reports and assist in budget tracking for construction projects
- Organize and maintain the executive’s filing system, both electronic and physical
- Perform general administrative tasks to support the executive team
Preferred Qualifications
- Bachelor’s degree in Business Administration or related field
- Familiarity with the construction industry and its operations
