Join Gifted Savings as their proactive Operations and Finance Manager, leading internal bookkeeping, HR administration, vendor management, and team operations. Collaborate closely with the Comptroller, CFO, COO, and Executive Director to maintain strong, compliant, and efficient internal systems. This part-time, remote role is ideal for a detail-oriented, highly organized individual comfortable handling confidential information and contributing to a fast-growing nonprofit. Manage internal bookkeeping processes, payroll, accounts payable, and assist with financial reporting. Lead hiring and onboarding, maintain employee records, and support team events. Serve as the primary point of contact for employee benefits administration. Document and improve internal systems and processes. The position requires 5+ years of experience in nonprofit finance or administration and advanced proficiency in QuickBooks Online.
Requirements
- You have 5+ years of experience in nonprofit finance, bookkeeping, HR operations, or administration, with a strong track record of managing cross-functional responsibilities
- You have advanced proficiency in QuickBooks Online (or equivalent accounting software), with the ability to manage entries, reconciliations, and reporting independently
- You have demonstrated experience managing end-to-end payroll processes; Rippling experience strongly preferred
- You have a strong understanding of HR administration, including benefits, onboarding, and compliance across multiple states
- Youβre exceptionally organized and have project management skills, with the ability to track multiple workflows, meet deadlines, and anticipate operational needs
- You have strong written and verbal communication skills, with the ability to communicate clearly across remote teams and with external partners
- Your discretion and sound judgment allows you to handle sensitive information, financial records, and personnel matters
- You have a self-starter mindset with the ability to work independently in a remote-first environment, while collaborating effectively across functions

Responsibilities
- Manage internal bookkeeping processes in collaboration with the Comptroller and CFO
- Process payroll and maintain payroll compliance (experience with Rippling a bonus)
- Manage accounts payable, including processing payments to vendors, contractors, and beneficiaries
- Assist with monthly reconciliations and financial reporting for all accounts
- Support preparation for the organization's annual IRS Form 990 filing
- Lead hiring and onboarding processes for new employees and contractors
- Maintain accurate employee records and ensure HR compliance
- Support planning and logistics for team retreats, onsite meetings, and events
- Serve as the primary point of contact for employee benefits administration (including health insurance, FSA, retirement plan, etc.)
- Document and improve internal systems, processes, and policies
- Manage operational vendor relationships (e.g., accounting, legal)
- Manage the organizational calendar, including scheduling team events, tracking PTO, and maintaining key staff schedules
- Provide administrative and operational support across the team as needed
