Summary
Join a fast-growing digital marketing agency as their Head of Agency Operations. Lead and mentor the project management team, overseeing all operational workflows, deliverables, and timelines. Build and refine scalable systems for workflow, task management, and communication using various tools. Ensure smooth project execution by coordinating across multiple teams. Identify and resolve bottlenecks, implementing new tools and processes for improvement. Forecast team bandwidth and create reporting tools to track project status and efficiency. Maintain quality control to ensure exceptional client experiences. This is a remote, full-time position offering a competitive salary and additional perks.
Requirements
- 5+ years in project management or agency operations, ideally within a marketing or creative environment
- Proven leadership experience—you're great at managing teams and keeping people accountable
- Expert-level proficiency in Notion, ClickUp, Slack, and strong knowledge of tools like HubSpot, Zapier, and Slite (or equivalent)
- Obsessed with efficiency, communication, and documentation
- Strong written communicator—your briefs, updates, and messages are always clear
- Comfortable building internal processes from scratch and rolling them out across cross-functional teams
- You thrive in fast-paced, growing environments where no two days look the same
Responsibilities
- Agency Operations & Systems : Build and refine scalable systems for workflow, task management, and communication using tools like Notion, ClickUp, Slack, HubSpot, and Zapier
- Project Management Oversight : Lead and mentor our project management team, ensuring accountability across all accounts, deadlines, and deliverables
- Cross-Functional Coordination : Be the glue between client services, media buyers, designers, strategists, and leadership to ensure smooth project execution
- Process Improvement : Identify bottlenecks and inefficiencies, and implement new tools, SOPs, automations, or systems to fix them
- Capacity & Resource Planning : Help forecast bandwidth across teams and accounts to ensure deliverables are completed on time and with excellence
- Operational Reporting : Build simple dashboards or reporting tools to keep leadership updated on project status, team efficiency, and red flags
- Quality Control: Create safeguards so nothing falls through the cracks, and every client experience is clean, professional, and on-brand
Preferred Qualifications
Experience with client-facing agency work or D2C/eCommerce businesses
