Requirements
- 2+ years of experience as an Executive Assistant, Administrative Assistant, Legal Assistant, or similar role (supporting senior leadership preferred)
- Strong organizational and time management skills
- Excellent written and verbal communication
- High level of discretion and professionalism when handling confidential information
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management tools
- Ability to multitask and work effectively in a fast-paced, deadline-driven environment
Responsibilities
- Manage calendars, scheduling, and travel arrangements for legal team members
- Coordinate internal and external meetings, including preparing agendas, materials, and follow-ups
- Screen and prioritize emails and correspondence on behalf of legal leadership
- Assist in drafting and proofreading executive communications, presentations, and reports
- Maintain confidentiality while handling sensitive legal and business information
- Organize and maintain legal department files and documentation
- Track and coordinate deadlines, reminders, and key department initiatives
- Assist with processing invoices, managing expense reports, and liaising with Finance as needed
- Prepare and distribute meeting notes, action items, and project updates on behalf of Legal Operations
- Support onboarding for new legal team members by coordinating access, tools, and documentation
- Order office supplies and handle other general administrative tasks as needed
- Serve as the point of contact for scheduling and administrative requests within the legal department
- Work cross-functionally with other administrative professionals across departments to coordinate projects and events
- Assist in organizing team offsites, training sessions, and other departmental activities
Preferred Qualifications
- Experience with expense management systems and travel booking preferred
- Familiarity with legal department operations or corporate environments
