Summary

Join Pavago as a Maintenance Coordinator and become the main point of contact for coordinating repairs and maintenance requests for our clientโ€™s property management operations. You will manage work orders, vendor relationships, and property maintenance schedules, ensuring timely responses and keeping tenants and property owners informed. This role requires strong organizational skills, excellent customer service, and the ability to work independently in a fast-paced, remote environment. You will be responsible for receiving and prioritizing maintenance requests, communicating with contractors, scheduling repairs, and maintaining accurate records. The ideal candidate will have 3+ years of experience in property management maintenance coordination and advanced AppFolio proficiency. Requirements

  • Experience: 3 years in maintenance coordination within property management
  • AppFolio Proficiency: Advanced knowledge and hands-on experience using AppFolio for work orders, scheduling, and reporting
  • English Proficiency: great English skills, both verbal and written, to communicate professionally with tenants, vendors, and property owners
  • Customer Service Skills: Proven ability to handle inquiries and complaints with patience, empathy, and professionalism
  • Work Ethic: Self-starter with high attention to detail, able to work independently and take initiative without constant supervision
  • Coachable: Open to feedback and committed to continuous improvement

Responsibilities

  • Receive, log, and prioritize maintenance requests in AppFolio, assigning them to appropriate vendors or maintenance staff
  • Communicate with contractors to schedule and oversee repairs, ensuring quality work and timely completion
  • Respond promptly to tenant inquiries, providing updates and ensuring satisfaction with completed work
  • Keep property owners informed of ongoing maintenance, costs, and timelines to maintain transparency and trust
  • Track and schedule routine property inspections and preventive maintenance to reduce future repair costs
  • Maintain accurate records of all maintenance requests, communications, and invoices in AppFolio
  • Monitor maintenance expenses to ensure they align with approved budgets, and troubleshoot common maintenance issues remotely when possible to save time and costs

Preferred Qualifications

  • Experience building strong relationships with vendors and service providers
  • Ability to anticipate potential maintenance issues and take proactive measures
  • Strong multitasking skills, able to handle high volumes of maintenance requests efficiently
  • Skilled at balancing urgency with quality when coordinating repairs
