Join ApexRMS, a leading provider of environmental software solutions, as their Manager of Operations. You will work closely with the CEO and various teams to oversee day-to-day operations, refine internal processes, and manage financial reporting. The ideal candidate possesses at least 5 years of operational or administrative leadership experience, strong financial acumen, and proficiency in relevant software. Requirements
- At least 5 years of operational or administrative leadership experience, ideally within a growing organization or consulting environment
- Proven experience in financial reporting, budget management, and internal operations
- Experience managing company tools and workflows, particularly Excel and Quickbooks
- Highly organized, detail-oriented, and capable of managing multiple tasks independently
- Excel-proficient, including basic to intermediate functions and comfortable working with custom-built templates
- Strong communication and interpersonal skills; able to collaborate with remote and cross-functional teams
- A proactive problem-solver who takes initiative and thrives in a "take charge" role
- Passionate about sustainability and environmental decision-making
Responsibilities
- Oversee and improve day-to-day internal operations, including workflows across HR, IT, administration, and marketing
- Refine, implement, and manage internal processes using tools like Excel and proprietary software
- Ensure operational systems are efficient and aligned with company goals
- Lead project administration processes from initiation to completion, including archiving
- Support all staff with administrative and operational tasks as needed
- Liaise with HR consultants to update and maintain company policies
- Review contracts and liaise with legal counsel to ensure compliance and mitigate risk
- Take over the current CEOβs administrative duties, progressively assuming full responsibility over six months
- Create and maintain financial reports, including cash flow, income statements, balance sheets, revenue forecasts, and project profitability reports using Excel-based tools
- Oversee accounts payable and receivable, including invoice preparation, billing, and payments
- Collaborate with the bookkeeper and accountant for timely and accurate financial reporting via QuickBooks
- Administer payroll using Dayforce and manage employee benefits, liaising with external providers as needed
- Review and approve all company expenses
- Support government funding applications (internships, grants, etc.)
- Serve as a strategic advisor to the CEO, offering insights for decision-making and strategic planning
- Ensure that operational decisions align with long-term company objectives
- Provide administrative support to the CEO and leadership team, ensuring consistent communication across departments
Preferred Qualifications
Background in finance or accounting is strongly preferred
