Requirements
- Proven experience as an Operations Manager in a marketing agency or setting
- Strong understanding of web design/development, SEO strategy, and content production
- Exceptional organizational skills — expert in Notion, timelines, dashboards, and process documentation
- Strong written and verbal English skills; able to confidently represent the agency in client communications
- Experience reviewing creative and technical deliverables for accuracy and quality
- Passion for experimenting with AI tools and building workflow automations
- Comfort working in a fast-paced, multi-client agency environment
Responsibilities
- Create and optimize systems that improve efficiency, quality, and client satisfaction
- Keep projects running smoothly by coordinating timelines, resources, and deliverables
- Implement process improvements that allow the team to scale faster without sacrificing quality
- Ensure every client touchpoint is clear, professional, and confidence-building
- Join client meetings, track all action items, and ensure alignment between clients and internal teams
- Build and refine Notion-based project management systems to streamline delivery
- Create and maintain SOPs for all recurring processes
- Coordinate timelines, dependencies, and resources across multiple projects
- Review deliverables — from websites to SEO articles — approving only when flawless
- Introduce AI tools and automation to reduce repetitive work and accelerate output
- Organize and manage assets to ensure the team always has what they need
- Support the client’s own marketing presence — updating the website, social channels, and newsletter
Preferred Qualifications
- Hands-on skills in copy editing, design tweaks, and SEO review
- Familiarity with: Webflow, Framer, Figma, Google Search Console, SEMrush, Ahrefs
- Experience scaling systems for remote teams
