Requirements

  • Have several years of proven experience in a fast-paced administrative, operations, or project support role
  • Possess strong written communication skills and excellent attention to detail
  • Have experience managing email inboxes and handling customer or client inquiries
  • Be familiar with project management tools (e.g., Trello, Asana, ClickUp, or similar)
  • Be able to manage and prioritize multiple tasks efficiently

Responsibilities

  • Manage the editor’s mailbox: Organising and responding to emails, flagging key messages, and ensuring timely follow-ups
  • Handle copyediting and proofreading: Reviewing written content for accuracy, grammar, and consistency
  • Coordinate content-related tasks with the editorial team
  • Manage the marketing board: Tracking tasks, ensuring deadlines are met, and keeping workflows updated
  • Support routine marketing tasks, including newsletter scheduling and campaign coordination
  • Assist with advertising fulfilment, ensuring clients receive necessary materials and updates
  • Conduct research on potential advertisers using tools like Apollo and assist with advertiser inquiries
  • Support summit planning and execution: Managing speaker details, confirming schedules, and handling logistics
  • Assist with summit recording coordination, ensuring all sessions are documented correctly
  • Track deliverables related to event sponsorships and advertising commitments
  • Host and record summit speaker presentations
  • Handle ad hoc admin tasks to support various departments
  • Keep records organised and ensure workflows run smoothly
  • Proactively identify areas for efficiency improvements

Preferred Qualifications

  • Have experience with copyediting or proofreading
  • Have a background in marketing support, including newsletters and content scheduling
  • Have event coordination experience, particularly for virtual events or summits
  • Be familiar with CRM tools and email marketing platforms
  • Have knowledge of the publishing or media industry
  • Have experience handling calls with B2B customers
  • Have a degree in business administration or a similar field
