Summary
Join insightsoftware's Project Management Office as a Project Coordinator, serving as a central point of operations for our German-speaking team and customers. Collaborate with the Professional Services team to manage administrative tasks related to customer and partner contracting, invoicing, and record-keeping. Provide information and assistance to customers regarding service hours, contracts, and invoicing. Develop and manage operational reporting and maintain our professional services application. Responsibilities include validating project information, assigning resources, managing project hours, reallocating hours as needed, sending client reports, and closing projects. Additional operational and administrative duties may be assigned by leadership. The role requires strong communication, analytical, and organizational skills.
Requirements
- Native German & fluency in English
- Project coordination and/or operational experience within a Professional Services environment
- Experience as project analyst/coordinator/junior role
- Customer management/client facing experience
- Working with technical and business consultants to ensure the successful delivery of services for ISW customers
- Follow defined Global PMO methodology, standards and processes
- Be able to multitask, managing several projects at different lifecycle stages, while following defined processes
- Demonstrate excellent communication skills and analytical, problem-solving capability
- Demonstrate outstanding organizational skills with a large volume of tasks
- Manage changing situations while maintaining a positive view towards delivery
- Experience with industry-standard business and productivity tools (Microsoft Excel and Word, timekeeping systems, and collaboration tools)
- Strong analytical, problem solving, and organizational skills
- Excellent communication skills and strong professionalism
Responsibilities
- Work collaboratively with the Professional Services team to facilitate administrative activities concerning customer and partner contracting, invoicing, and general recordkeeping
- Work with customers to provide information and assistance with their service hours, contracts, invoicing and other items as needed
- Develop and manage operational reporting
- Maintain our professional services application and perform coordination activities including (but not limited to)
- Validate project information accuracy, upon project initiation
- Assign resources to projects and maintain project hours in good order
- Re-allocate hours across assignments (if needed)
- Send clients periodic hours balance reports
- Close project (based on check list) once work concludes
- Other duties operational and administrative in nature that may be requested from leadership
Preferred Qualifications
Exposure to financial reporting/accounting product implementation would be an added advantage
