Requirements
- Bachelorโs degree in business administration, or related field (or equivalent experience)
- 2+ years of experience in accounting support or project coordination
- 2+ years of experience in Microsoft Excel and Outlook
- Exceptional attention to detail, reliability, and initiative
- A fast learner who can adapt and grow with the role
- Strong communicator with a collaborative, service-oriented mindset
- Ability to manage multiple priorities in a fast-paced environment
- This is an in-office role
- Ability to sit for long periods and occasionally bend or reach overhead
- Ability to lift and carry up to 10 lbs
- Must be able to drive a personal vehicle occasionally
Responsibilities
- Keep project and accounting files organized, current, and easily accessible
- Set up new projects in the accounting system and adjust budgets as needed
- Oversee project budgets, track completion of project phases, and identify out-of-scope tasks
- Assist with project scheduling and coordination with external team members and clients
- Manage contracts and proposals
- Support project submittals to public agencies
- Prepare and send project invoices
- Process AP vouchers, reconcile credit cards, manage check requests, and post ACH payments
- Maintain the AP inbox and support billing and AR workflows
- Provide administrative support to ensure smooth day-to-day operations
- Handle sensitive financial and project information with discretion
