Summary
Join our team as a Client Project Coordinator and manage the successful execution of small to medium-sized projects for existing clients. This fully remote, part-time (25-30 hours/week) role is crucial in the Inside Sales process, ensuring projects are delivered on time, within scope, and to client satisfaction. You will manage projects in ClickUp, from task creation and sprint coordination to quality assurance and final closeout. Responsibilities include translating client quotes into actionable tasks, collaborating with the Scrum Master, conducting quality assurance, and acting as the primary client contact. The ideal candidate possesses strong organizational skills, experience with project management software (ClickUp preferred), and excellent communication skills.
Requirements
- 2+ years of experience in a project coordination, account management, or client success role, preferably within a SaaS or technology company
- Proven experience with project management software is mandatory; extensive experience with ClickUp is strongly preferred
- Exceptional organizational skills and meticulous attention to detail
- Demonstrated ability to manage multiple projects and priorities simultaneously without sacrificing quality
- Excellent written and verbal communication skills, with an aptitude for building strong client relationships
- A self-starter with the ability to work independently and take ownership of projects from start to finish
Responsibilities
- Serve as the primary stakeholder for all approved inside sales projects
- Translate approved client quotes into detailed milestones and actionable tasks within the master "Inside Sale Project" list in ClickUp
- Ensure every task is created with a detailed description, due date, time estimate, priority level, and all other required fields as outlined in our ClickUp Master Guidelines
- Properly tag tasks for the appropriate Operations Pod (e.g., Tech Ops, DevOps) in preparation for Sprint Planning
- Prepare and queue tasks for upcoming sprints by assigning the "Next Sprint" status
- Collaborate with the Scrum Master to ensure tasks are "sprint-ready" with all necessary documentation
- Track task progress throughout the bi-weekly sprint, ensuring assignees are working in order of priority
- Conduct thorough quality assurance on all delivered work. When a task is moved to "Work Delivered," you will perform a comprehensive review to ensure it meets the requirements of the original quote
- Manage the revisions process by moving tasks to "Revisions Needed" with clear actionable feedback for the assignee
- Verify all work is sufficient and meets client expectations before moving a task to "Work Completed."
- Act as the primary point of contact for the client throughout the project lifecycle, managing all communications through ClickUp
- Proactively keep clients informed of project progress, potential blockers, and timelines
- Obtain client verification and satisfaction upon project completion
- Address and manage any scope increases by communicating with the client, generating estimates for new work, and following the proper approval process
- Strictly adhere to all company project management processes documented in the ClickUp Master Guidelines
- Manage the complete project closeout procedure, including obtaining written client agreement, notifying the Business Office for final invoicing, requesting a client gift, and archiving the project milestone
Preferred Qualifications
Familiarity with sprint-based or agile methodologies is a plus
