Summary

This is a high-level offshore generalist role supporting real estate businesses; you'll act as a trusted partner to real estate brokers, agents, and teams, keeping deals and operations moving while growing the brand and keeping clients happy. You’ll manage key administrative, operational, marketing, and client-facing tasks, bringing structure to chaos and improving efficiency through smart use of AI. Requirements
- Minimum 3 years of experience in real estate admin, operations, transaction coordination, or similar roles
- Proven ability to manage multiple priorities and transactions in a fast-paced environment
- Strong written and verbal communication skills; able to draft clear, professional emails, updates, and marketing copy
- Hands-on experience with MLS platforms, CRMs, and common real estate tools
- Proficiency in Google Workspace, Microsoft Office, Canva, and social media platforms
- Familiarity with AI tools to enhance productivity
- Exceptional organizational skills, attention to detail, and follow-through
- Ability to think critically, adapt quickly, and bring structure to ambiguity
Responsibilities
- Manage inbox, calendar, scheduling, reminders, and organize files and databases
- Create and maintain transaction documents, offers, disclosures, listing agreements, and MLS records
- Draft and send professional communications to clients, buyers/sellers, and vendors
- Track transaction timelines, coordinate showings, and keep all parties accountable to deadlines
- Improve time and task management systems for listings, closings, and client follow-up
- Draft and edit emails, listings, marketing captions, and newsletters using AI tools
- Summarize meetings, notes, and documents into clear action items
- Research comps, market data, or trends to support pricing and strategy decisions
- Draft SOPs, checklists, and internal documentation with AI assistance
- Create property flyers, listing presentations, and social media graphics in Canva or similar tools
- Draft and schedule email campaigns, newsletters, and social media posts
- Post listings online and keep the content calendar updated
- Respond to client inquiries and emails promptly and professionally
- Proactively check in with clients, buyers, and sellers to ensure smooth transactions
- Send weekly client updates and deal progress reports
