You will play a crucial role in supporting the end-to-end recruitment process, ensuring a smooth and positive experience for candidates and hiring teams. Your responsibilities will include coordinating interviews, managing candidate communications, maintaining the Applicant Tracking System, and contributing to employer branding efforts. The role offers a 9-month contract with the potential for renewal or conversion to full-time employment.
Requirements
- 1–2 years of experience in recruiting coordination, HR, or a similar administrative role in a fast-paced environment
- Familiarity with Applicant Tracking Systems—experience with Greenhouse is a plus
- Excellent verbal and written communication skills
- Strong organizational skills and ability to manage multiple tasks with precision
- Comfortable setting expectations and communicating with multiple stakeholders at once
- High attention to detail and ability to handle confidential information with care
- Proficient in English (C1 level or higher)
Responsibilities
- Interview Coordination: Schedule and confirm interviews, manage calendars across time zones, and communicate logistics to candidates, interviewers, and recruiters
- Candidate Communication: Act as the main point of contact for candidates, ensuring a timely, warm, and personalized experience throughout the interview process
- ATS Management: Keep candidate records up-to-date in our Applicant Tracking System (we use Greenhouse), ensuring data accuracy and pipeline visibility
- Sourcing Support: Review inbound and outbound applicants and assist with early-stage candidate screening
- Job Posting: Draft and post job descriptions across platforms to attract top talent
- Onboarding Coordination: Support the pre-boarding process in collaboration with HR, helping new hires transition smoothly
- Event & Employer Brand Support: Assist with career fairs, recruiting events, and culture initiatives to promote Apollo.io’s brand and values
- Day-of Support: Monitor interview days, troubleshoot real-time issues (e.g. cancellations, tech challenges), and ensure everything runs smoothly
- Reporting: Generate recruitment reports and metrics to help identify trends and opportunities for improvement
- Process Optimization: Proactively identify and suggest ways to make the hiring process faster, smoother, and more candidate-friendly
Preferred Qualifications
Bachelor’s degree in Human Resources, Business Administration, or related field preferred
