Responsibilities

  • Handling the logistics of on-site materials, including managing the shipping and setup
  • Sourcing and liaising with venues, negotiating contracts, and managing venue relationships
  • Coordinating with AV teams to ensure proper technical setup
  • Serving as the point of contact for sponsors and speakers
  • Managing headshots, logos, bios, and other media related to sponsors and speakers
  • Coordinating sponsor meetings and managing sponsor deliverables
  • Updating and maintaining P&L sheets for each event, ensuring adherence to the event budget
  • Managing the networking app for events, ensuring sponsor and attendee engagement
  • Using tools like Bizzabo, Canva, and Excel for various event management tasks
  • Leading on-site event management, coordinating floor plans, venue setup, and overseeing event execution
  • Compiling post-event reports with analysis of event performance and insights for future improvements

Newton Media Ltd is looking for a friendly, proactive and detail-oriented Event Operations Executive to join our dynamic events team. You will be responsible for the end-to-end planning, co-ordination and execution of events.

You will be a highly organised individual who can manage all logistical aspects of events, from venue sourcing and vendor negotiations to managing event websites and co-ordinating on-site activities. You must be able to thrive in a fast-paced environment, be detail-orientated, and have strong communication skills to liaise effective with sponsors, speakers and vendors.

What you’ll be doing

As an Event Operations Executive, you will be at the heart of our operations and responsibilities will include:

  • Handling the logistics of on-site materials, including managing the shipping and setup
  • Sourcing and liaising with venues, negotiating contracts, and managing venue relationships
  • Coordinating with AV teams to ensure proper technical setup
  • Serving as the point of contact for sponsors and speakers
  • Managing headshots, logos, bios, and other media related to sponsors and speakers
  • Coordinating sponsor meetings and managing sponsor deliverables

Experience

Educated to degree level, with a minimum of one year’s experience in event operations or coordination is essential. If you have a background in logistics or project management, we would also be interested in hearing from you.

You should be comfortable working with different technology platforms and possess proficiency in Microsoft Office, Google G-Suite and basic project management tools.

Essential skills

  • Strong attention to detail and commitment to quality.
  • Ability to work both independently and collaboratively within a team environment.
  • Fluent English speaker with exceptional written and verbal communication skills.

Desired skills

  • Ability to think creatively for event design and problem-solving
  • Experience with event management platforms such as Bizzabo
  • Proficient in Canva, PowerPoint, and Gmail for designing and managing event-related materials.
  • Relevant certifications (e.g., Certified Meeting Planner (CMP), Event Management Certificate) are an advantage but not essential

And finally you should

  • Be friendly and comfortable building relationships with internal and external stakeholders
  • Be happy to pick up the phone and contact suppliers and clients when needed
  • Be confident to ask for help and support when needed
  • Be curious to problem solve independently when appropriate, and communicate learnings with the team
  • Prefer a hands-on approach to event operations, where each team member takes ownership of their role and contributes to the collective success of the event
