Summary

Join Decentralized Masters, a rapidly growing DeFi education company, as a Virtual Assistant supporting the sales team. You will manage daily tasks in our CRM (HubSpot), ensuring accurate lead tracking and reporting. This role requires strong organizational skills, attention to detail, and excellent communication. You will be responsible for lead management, sales reporting, data quality assurance, and team communication. The position is fully remote and requires weekend availability. Requirements

  • Please submit your resume in ENGLISH
  • Native English speaker (or at least professional level)
  • Must be available in EST time zone
  • Experience in sales
  • Hubspot knowledge and experience
  • Strong written and verbal communication skills in English
  • Comfortable using tools such as Slack, Google Sheets, and spreadsheets
  • Highly organized and process-oriented
  • Detail-focused with strong follow-through
  • Able to work independently with minimal supervision
  • Experience working as a virtual assistant or in a remote operations role
  • Weekend availability is a must

Responsibilities

  • Enter and update new lead information in the CRM system
  • Assign leads to the appropriate team members based on defined criteria
  • Merge and clean duplicate contact records
  • Reassign leads that are not being followed up on
  • Ensure all lead records are complete and accurate
  • Record daily sales activity metrics (calls, conversations, appointments set)
  • Maintain and update performance dashboards and spreadsheets
  • Track the movement of leads through different stages of the sales process
  • Send daily summaries and updates to team leads
  • Perform routine checks of CRM data to ensure accuracy
  • Identify and correct missing or inconsistent lead data
  • Support monthly data audits to ensure clean reporting
  • Monitor team channels (primarily Slack) and assist with lead-related requests
  • Support appointment setters and sales reps with lead follow-ups
  • Keep internal communication logs and trackers up to date and organized
  • Launch follow-up sequences for older leads who haven’t responded
  • Monitor high-priority leads and ensure they are being engaged

Preferred Qualifications

Prior experience working with a CRM (HubSpot strongly preferred)
