Requirements

  • Previous experience in a virtual assistant or administrative support role, ideally within wealth management or financial services
  • Proficiency in CRM systems
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to work independently and manage time effectively
  • Experience with outbound and inbound client communication
  • Familiarity with creating and managing email and text automation campaigns

Responsibilities

  • Answer inbound client inquiries, collecting necessary information related to wealth management services
  • Input collected data into the database system
  • Queue completed data for financial advisor to review and respond to clients
  • Make outbound calls to clients and leads in the CRM, ensuring timely follow-up to provide requested information
  • Maintain a proactive approach in contacting clients to gather details for portfolio updates or investment inquiries
  • Manage and update client information within the CRM, ensuring accuracy and completeness
  • Oversee the automation of email and messaging campaigns to keep clients informed about new services, market updates, and personalized financial content
  • Create mailing lists based on client interests and locations for targeted outreach
  • Prepare and coordinate the distribution of newsletters and educational content to clients
  • Input leads and new client details from various sources into the CRM for follow-up by wealth advisors
  • Assist with administrative tasks, including other firm-related responsibilities

Preferred Qualifications

Background in wealth management is a plus
