Summary

Join Rubrik as a Data Entry Specialist and play a crucial role in maintaining the accuracy and integrity of our HR data. You will be responsible for entering and auditing data in Workday, ensuring consistency across multiple systems. This role requires strong proficiency in data entry, HR processes, and attention to detail. The position is a 12-month contract with a hybrid work schedule, combining in-office and remote work. You will collaborate with various teams, including Payroll, Benefits, and HR Business Partners. A minimum of 3 years of HR experience and 1 year of Workday experience is required. A bachelor's degree is a plus.

Requirements

  • Work in the office 1 day a week from 11-8pm IST (to be aligned with the manager) and 2pm - 11pm IST remotely for the remaining 4 days of the week
  • 3+ years of HR experience, with at least 1 year of hands-on Workday experience
  • Strong proficiency in Google Sheets and/or Excel
  • Ability to come to the office to attend other office events as needed
  • Understanding of HR, Payroll, and/or Finance business processes
  • Excellent verbal and written communication skills
  • Ability to work quickly and accurately under pressure
  • Strong team player with a customer service-oriented attitude
  • Ability to thrive in a fast-paced environment; work quickly with accuracy and prioritize work
  • Maintain strict confidentiality of employee information

Responsibilities

  • Approve and/or enter Workday HR data transactions
  • Process Rubrikan data, including address changes, new hires, terminations, transfers, leave of absences, promotions, compensation updates, location changes, etc
  • Manage Workday data for contingent workers (temps, consultants, professional services) including assignment details (start/end dates, extensions, hiring and terminating), bill/pay rate updates, etc
  • Prepare & audit bonus submissions to Payroll for each pay period
  • Review the documents provided and verify that the workday update information is precise for payroll
  • Conduct daily, weekly, and monthly Workday data integrity audits to ensure all fields are complete, data is valid, and supervisory organizations and position management data are accurate with no orphan records
  • Conduct monthly and quarterly system data audits, validating Workday data against Payroll, Greenhouse ATS, E*TRADE, and other systems
  • Act as a liaison with Payroll, Benefits, Stock Administration, and HR Business Partners to ensure data integrity
  • Peer review of the prepared EIB files
  • Monitor pending business process transactions and send follow-up emails to drive approvals. Cancel transactions not approved by target SLA for transaction
  • Scan and upload documents in Workday as and when required
  • Employment verification letters
  • Update process documentation as changes are made
  • Actively participate in weekly team meetings
  • Make suggestions for process improvements
  • Maintaining any/all documentation in compliance with SOX requirements internally

Preferred Qualifications

Bachelor's degree in Business, Human Resources, Information Systems, or a related field
