Join SimplePractice as the Manager, Workplace Strategy & Site Operations and play a pivotal role in optimizing our distributed work model. You will lead our real estate strategy and support our global team's physical environment needs, strategically evaluating, planning, and managing physical spaces. Responsibilities include developing and executing a comprehensive real estate strategy, managing in-person gatherings, supporting employee home offices, and managing vendor relationships. You will also manage budgets, ensure compliance, and mitigate risks. This role is crucial in ensuring impactful and efficient physical interactions aligned with our remote-first philosophy.
Requirements
- Bachelor's degree in Business Administration, Operations, Hospitality Management, Facilities Management, or a related field
- 7 plus years of experience in real estate strategy, workplace management, event planning, or facilities management within a remote-first or highly distributed organization
- Proven experience in managing complex projects, including multi-location event planning and vendor management
- Strong financial acumen with experience in budget management, cost analysis, and contract negotiation
- Excellent interpersonal, communication, and negotiation skills, with the ability to build strong relationships with internal and external stakeholders globally
- Demonstrated ability to think strategically, solve problems creatively, and adapt to evolving business needs in a dynamic environment
- High proficiency with virtual collaboration tools (e.g., Slack, Zoom, Google Workspace) and project management software
- Self-motivated, highly organized, and capable of working independently while also fostering team collaboration
Responsibilities
- Develop and execute a comprehensive real estate strategy for a predominantly remote-first organization, while also addressing the unique needs of our hybrid team in Mexico City
- Conduct market research to identify optimal locations and venues for strategic in-person gatherings and flexible workspace options across various geographies (US, Mexico, DR, Ukraine, etc.)
- Perform financial analysis and cost-benefit assessments for all physical space investments, ensuring alignment with budget and business objectives
- Lead the end-to-end planning and execution of company-wide summits, leadership offsites, and key team gatherings, from venue sourcing and contract negotiation to logistical coordination (travel, accommodation, catering, A/V)
- Collaborate with internal stakeholders (e.g., People & Culture, Leadership, IT) to ensure gathering objectives (strategic planning, intensive collaboration, team building, innovation, learning) are met through intentional physical experiences
- Manage and optimize programs for employee home office support, including equipment stipends, ergonomic guidance, and tech setup coordination
- Evaluate and recommend flexible co-working solutions or short-term "pop-up" office spaces in high-density employee regions
- Build and maintain strong relationships with external vendors, including co-working providers, real estate brokers, event management companies, and furniture/equipment suppliers
- Negotiate contracts and manage vendor performance to ensure high-quality, cost-effective services
- Manage and track the budget for all physical workplace initiatives, events, and related employee programs
- Develop and maintain clear policies and guidelines related to travel, expenses, and physical workplace usage for a distributed team
- Ensure compliance with local regulations, safety standards, and insurance requirements for all utilized physical spaces and events
- Identify and mitigate risks associated with physical gatherings and distributed workplace setups
