Requirements

  • Bachelor’s degree or equivalent experience preferred
  • 5+ years of executive support experience, preferably in a fast-paced corporate environment
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Zoom, Teams, Slack)
  • Excellent organizational, time management, and multitasking skills
  • Strong written and verbal communication skills with a keen attention to detail
  • Ability to work independently, exercise sound judgment, and maintain confidentiality

Responsibilities

  • Provide high-level administrative support to Division Presidents, ensuring effective time management and prioritization of tasks
  • Manage complex calendars, scheduling meetings, conference calls, and events, ensuring alignment with business priorities
  • Prepare reports, presentations, and correspondence on behalf of the executives
  • Handle confidential information with discretion and professionalism
  • Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries
  • Anticipate travel needs and ensure all logistical details are in place, including visas and expense planning
  • Process and reconcile travel and expense reports in accordance with company policies
  • Coordinate internal and external meetings, including agenda preparation, logistics, and follow-up actions
  • Organize leadership team offsites, business reviews, and other corporate events
  • Act as a liaison between executives and key stakeholders, ensuring seamless communication and collaboration
  • Support office facilities-related tasks, ensuring a well-maintained and functional work environment
  • Support with the coordination working with vendors and service providers for office maintenance, repairs, and supply management
  • Support office space planning and workstation assignments as needed

Preferred Qualifications

Experience handling facilities-related responsibilities is a plus
