Summary
Join Integrated Specialty Coverages (ISC) as a highly organized and proactive Administrative Assistant, providing high-level support to Division Presidents. Manage complex calendars, travel arrangements, and facilities-related matters. Prepare reports, presentations, and correspondence. Handle confidential information with discretion. Coordinate internal and external meetings and corporate events. Act as a liaison between executives and stakeholders. This role requires strong organizational, time management, and communication skills, along with proficiency in Microsoft Office Suite and collaboration tools. Requirements
- Bachelorβs degree or equivalent experience preferred
- 5+ years of executive support experience, preferably in a fast-paced corporate environment
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Zoom, Teams, Slack)
- Excellent organizational, time management, and multitasking skills
- Strong written and verbal communication skills with a keen attention to detail
- Ability to work independently, exercise sound judgment, and maintain confidentiality
Responsibilities
- Provide high-level administrative support to Division Presidents, ensuring effective time management and prioritization of tasks
- Manage complex calendars, scheduling meetings, conference calls, and events, ensuring alignment with business priorities
- Prepare reports, presentations, and correspondence on behalf of the executives
- Handle confidential information with discretion and professionalism
- Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries
- Anticipate travel needs and ensure all logistical details are in place, including visas and expense planning
- Process and reconcile travel and expense reports in accordance with company policies
- Coordinate internal and external meetings, including agenda preparation, logistics, and follow-up actions
- Organize leadership team offsites, business reviews, and other corporate events
- Act as a liaison between executives and key stakeholders, ensuring seamless communication and collaboration
- Support office facilities-related tasks, ensuring a well-maintained and functional work environment
- Support with the coordination working with vendors and service providers for office maintenance, repairs, and supply management
- Support office space planning and workstation assignments as needed
Preferred Qualifications
Experience handling facilities-related responsibilities is a plus
