Requirements

  • 5+ years of administrative or equivalent experience, preferably in a fast-paced environment
  • Previous success at building strong organizational relationships in a global environment, and in fostering teamwork
  • Demonstrated experience in working to independently identify, analyze, and solve problems with creative and successful solutions
  • Resourceful and passionate about making others more efficient
  • Excellent organizational skills, and the ability to be agile
  • Excellent project management skills, with the ability to manage multiple projects simultaneously, often under tight deadlines
  • Highly collaborative and adaptable, with the ability to build relationships and work effectively with multiple stakeholders across different levels of the organization
  • Curious, flexible, and the ability to think creatively
  • Enjoy working in a fast-paced environment, self-motivated
  • Demonstrated expertise in Microsoft Office products, including Word, Excel, PowerPoint, Outlook, Teams, and willingness and ability to learn company-specific software or system tools
  • Exceptional written and verbal communication skills

Responsibilities

  • Support the Senior Director of Strategic Communications, and a team of Executive Communications Directors with a variety of administrative support functions, and help coordinate team meetings, special projects, other initiatives
  • Maintain and manage the Senior Director of Communicationsโ€™ calendar, including recurring meetings, prioritizing and using good judgment in offering solutions to complex scheduling and meeting planning, as needed
  • Schedule and coordinate meetings, including attendee communications, venue location management/site coordination, audio/video set-up and management as needed, and catering
  • Help the leader remain proactive in managing times and priorities
  • Enable and plan global travel activities; coordinate accommodations, and local transportation and passport/visa requirements, as needed
  • Proactively compile, submit, and track expenses in a timely manner
  • Proactively anticipate potential travel issues and respond accordingly
  • Provide exceptional attention to detail in all efforts
  • Anticipate potential changes or shifts in priorities amidst simultaneous demands for attention
  • Complete projects, special assignments, other tasks, and duties as assigned
