Summary
Join our client as their experienced and strategic Director of Operations to oversee and optimize operations across multiple fast-moving ventures, including a CRO agency and a full-service ad agency. This key leadership position focuses on driving operational efficiency, managing complex projects, overseeing day-to-day business functions, and shaping the company's future. You will work closely with the Founder to execute business strategies and ensure operational effectiveness. The role requires strong leadership, team management, process optimization, and financial oversight skills. Success in this role will be measured by operational efficiency, timely project completion, optimized systems, and the Founder's ability to focus on high-level strategy. This is a fully remote position with a 9 AM - 5 PM PST schedule.
Requirements
- 4+ years of experience in operations leadership or a Chief Operating Officer (COO) role, ideally within agencies or startup environments
- Agency experience is a must—proven success in managing operations in a fast-paced agency setting
- Strong operational expertise with the ability to streamline complex processes, improve efficiency, and drive business growth
- Extensive experience in managing and leading cross-functional teams, particularly in client success, HR, finance, and operations
- Proficient in using operational tools (e.g., ClickUp, Slack, Google Workspace) and familiar with AI/automation platforms (e.g., Zapier, Airtable, Notion AI)
- Demonstrated ability to develop and execute strategic projects while managing the daily operations of multiple businesses
- Excellent communication and leadership skills, with experience reporting directly to founders or C-suite executives
- A track record of successfully scaling businesses and driving operational improvements
Responsibilities
- Work closely with the Founder to execute business strategies, prioritize key initiatives, and ensure operational effectiveness across all businesses
- Provide strategic oversight for all day-to-day operations, driving key initiatives and continuous improvements across multiple ventures
- Serve as the key leader for the organization’s client success, ensuring strong relationships, high levels of satisfaction, and long-term partnerships
- Lead, develop, and manage high-performing teams across operations, client success, HR, and finance departments
- Oversee recruitment, training, and performance management, ensuring a motivated and effective workforce aligned with company goals
- Foster a culture of collaboration, accountability, and growth within the teams
- Identify inefficiencies in business operations and implement strategies to streamline workflows and improve productivity
- Oversee the documentation and optimization of standard operating procedures (SOPs) and recurring processes across the business
- Use tools like ClickUp, Slack, and Loom to ensure all processes are standardized, efficient, and scalable. Proactively troubleshoot and address operational bottlenecks
- Lead the financial management efforts across the company, ensuring sound financial practices, forecasting, and budgeting
- Oversee the development and implementation of accounting processes and ensure financial health through careful tracking and reporting of revenue, expenses, and profitability
- Collaborate with finance teams to build systems that support financial scalability and efficient financial operations
- Lead strategic projects, including new product launches, market expansions, and process improvements
- Implement AI and automation tools to optimize operations and drive efficiency
- Research and suggest new operational tools, processes, and strategies to improve overall business performance
- Ensure that the client experience is seamlessly managed and that expectations are consistently met or exceeded
- Develop and implement client success strategies, focusing on retention, upselling, and reducing churn
- Act as the escalation point for major client issues and ensure that resolutions are timely and satisfactory
- Build and maintain strong relationships with key stakeholders, including team members, vendors, and partners, ensuring collaboration and alignment across all initiatives
- Track KPIs and metrics to measure success, adjusting strategies as needed to meet business objectives
- Oversee internal communication across all business units, ensuring the Founder’s strategic vision is clear and consistent
- Regularly report on the status of operational projects and performance metrics to the Founder, providing insights and recommendations for improvement
- Lead the integration and optimization of tools, platforms, and systems that drive business operations, including automation and AI tools such as ChatGPT, Zapier, Airtable, and Notion AI
- Ensure that all teams are aligned and using the right tools to maximize productivity
