Join the Eclipse Foundation's Events team as an Event Coordinator, contributing to the planning and execution of virtual and in-person events across Europe. You will manage webinars, support stakeholders at third-party events, develop social media strategies, and handle event logistics. This remote position, open to candidates in Germany, France, Italy, Portugal, and Belgium, requires experience in event coordination, marketing, and strong organizational skills. You will collaborate closely with colleagues and contribute meaningfully to the Foundation's strategic community service. Requirements
Bachelor's degree in Event Management, Marketing, or a related field, or equivalent experience
Responsibilities
- Plan, schedule, and coordinate all logistics for webinars, including platform management, speaker coordination, audience engagement, and post-event follow-up in support of the Virtual Events Specialist
- Provide event-related support to internal and external stakeholders for third-party events, including coordinating event materials, swags, logistics, and ensuring brand consistency at sponsored or attended events
- Develop and execute social media promotion strategies to drive event awareness, engagement, and attendance with the marketing team’s support
- Manage all logistical aspects of events including venue selection, vendor relations, catering, AV setup, and travel arrangements when required
- Ensure brand guidelines are followed in all marketing materials, signage, and promotional efforts related to events, ensuring consistent representation across platforms with the support of the marketing team
- Assist in managing the budget for events, including cost tracking, vendor negotiations, and expense reporting to ensure events are delivered within financial guidelines
- Collect and analyze data post-event to measure success (e.g., attendance, engagement, ROI) and generate reports to assess overall effectiveness and identify areas for improvement
- Coordinate with the IT team to ensure all event-related technologies, including registration platforms, webinar tools, and CRM integrations, are functioning smoothly
- Provide on-site support at physical events, overseeing setup, guest check-in, speaker coordination, and any troubleshooting during the event
- Support with the rest of the event team, the logistical execution of the Foundation’s main flagship event (Open Community Experience) such as abstract submission, speaker management, app management, etc
Preferred Qualifications
- 3+ years’ of experience in event coordination, marketing, or a similar role, with a demonstrated track record of planning and executing successful events (both virtual and in-person)
- Experience managing webinars and virtual events, as well as promoting these events through digital marketing and social media channels
- Strong organizational skills with the ability to manage multiple events and webinars simultaneously, ensuring all details are executed flawlessly
- Skilled in on-site event management, providing real-time solutions and ensuring smooth event execution
- Proven experience in social media marketing and promotion strategies, particularly in driving event awareness and engagement
- Strong writing and communication skills for developing promotional materials, event descriptions, email campaigns, and social media posts
- Analytical mindset with the ability to collect, analyze, and interpret data related to event performance, attendance, and ROI, using tools like Google Analytics, CRM systems, or event management platforms
- Excellent interpersonal and communication skills, with the ability to support stakeholders, including internal teams, community leaders, sponsors, and external vendors
- Community-service oriented approach with an ability to manage attendee inquiries and event-related issues
- Proficient with event management platforms (e.g., Cvent, Crowdcast, Swapcard, Eventbrite, Zoom, etc.) and marketing automation tools
- Familiarity with budgeting and financial management related to event planning, ensuring cost-effective solutions without compromising quality
- Adaptable team player with a strong sense of initiative and problem-solving skills
- Operational experience with planning and organizing both in-person and virtual events
- Proven ability to be both self-motivated and work independently while also being supportive and interactive with the entire events team
- Excellent written and verbal communication skills in English is required; fluency in Germany and/or French is beneficial
