Summary

Join Convergent Research, a non-profit science studio, as an Event Planner and Designer. You will be responsible for designing and executing events of all sizes, from intimate dinners to large summits, both in-person and virtual. This role requires strategic thinking, meticulous attention to detail, and strong execution skills. You will manage all aspects of event planning, including logistics, budgeting, and vendor management. Responsibilities

  • Mastermind Events with Purpose – Not every problem needs an event (but when it does, you’ll make it count). You’ll design gatherings that actually move the needle
  • Keep the Calendar on Lock – Own the master plan for all things events—quarterly offsites, key gatherings, and the occasional last-minute “let’s make this happen” moment
  • Turn Big Ideas into Reality – Transform vague concepts like “we should do a leadership retreat” into structured, actionable, and flawlessly executed plans
  • Make Logistics Look Easy – Scout the perfect venues, book top-tier vendors, negotiate like a pro, and ensure every detail is squared away (US and international)—without breaking a sweat. Oh, and because red tape shouldn’t ruin a great event, you’ll also make sure all necessary permits, licenses, and insurance requirements are locked in and good to go
  • Roll Out the Red Carpet – Keep attendees happy by handling invites, special requests, dietary needs, accessibility concerns—you name it
  • Be the Event Day MVP – Manage the run-of-show, keep everything running like clockwork, and handle surprises (like lost luggage or missing microphones) with grace
  • Host Like a Pro – Whether it’s a VIP dinner or a team retreat, you’ll set the tone, foster great connections, and make sure every guest feels at home
  • Keep the Budget in Check – Work with finance to track expenses, process reimbursements, and make smart spending decisions that don’t sacrifice quality
  • Always Be Leveling Up – Run post-event debriefs, spot opportunities for improvement, and refine processes so every event gets better than the last
  • Stay Agile & Ready for Anything – Navigate shifting priorities, juggle multiple stakeholders, and be ready to jump in on other ops tasks when needed
