Summary

Join Juul Labs as an Executive Assistant to the International MD and Office Manager in London! This role ensures the smooth operation of the London office and the International MD's office. You will manage diaries, organize meetings and events, handle correspondence, and support the MD and their leadership team. The position requires strong organizational and communication skills, experience in a senior EA role, and proficiency in Microsoft Office and G Suite. This is a 4-day-a-week in-office position in London with one remote work day. Requirements

  • Minimum of two years’ experience delivering an EA role at a senior/executive level
  • Thrive in a busy and active environment and have a fantastic ability to multitask and work at pace
  • Proficiency in Microsoft Office, G Suite, and Zoom, with exceptional attention to detail
  • Ability to use effective tools to plan ahead and ensure flawless execution of tasks
  • Ability to work independently and as a strong team player
  • Excellent people skills, confidence, approachability, and ability to build relationships at all levels
  • Outstanding written, oral, and communication skills
  • Ability and willingness to work across multiple time zones, countries, and cultures when required
  • High level of personal integrity

Responsibilities

  • Proactively and efficiently manage the MD’s diary to ensure efficient use of their time
  • Understand the varying needs of the MD/office and anticipate and adapt plans to suit priorities and changes
  • Liaise with external contacts to maintain customer and external stakeholder relationships
  • Organize meetings/events, including managing meeting facilities and budgets, communicating with attendees, circulating documentation, and taking minutes
  • Support the MD with incoming and outgoing correspondence (internal and external contacts), including inbox management
  • Work with the MD and their wider leadership team to ensure their department runs effectively and proactively support with challenges
  • Produce confidential briefing documents, reports, and presentations
  • Arrange travel (including accommodation and trains) and handle ad-hoc administration, including expense administration
  • Collaborate with other EAs/the Director of the CEO’s office to ensure efficient diary coordination
  • Serve as the key point of contact with office landlords, ensuring records, budgets, and invoicing are up-to-date
  • Maintain a high standard of office environment, including managing cleaning services and ordering supplies
