Requirements
- Possess excellent organizational and multitasking skills
- Demonstrate strong communication and interpersonal abilities
- Have proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Possess experience with customer relationship management (CRM) software (e.g., Salesforce, HubSpot)
- Have familiarity with project management tools (e.g., Asana, Trello, Slack)
- Have a strong understanding, experience, and skill set with MailChimp, Canva, and Honeybook
Responsibilities
- Manage and organize company documents, records, and files
- Assist in the preparation of reports, presentations, and correspondence
- Handle office supplies and inventory management
- Answer and direct phone calls to the appropriate departments
- Make outbound calls to clients and stakeholders as needed
- Provide exceptional customer service over the phone
- Schedule and coordinate meetings, appointments, and events
- Maintain and update calendars for team members and executives
- Ensure timely reminders and follow-up for scheduled activities
- Draft and send follow-up emails to clients and stakeholders
- Maintain an organized email inbox and respond promptly to inquiries
- Track and manage email communications for projects and tasks
- Assist in the onboarding process for new clients
- Prepare and provide necessary documentation and information to clients
- Ensure a smooth transition and positive experience for new clients
- Conduct research to identify potential leads and opportunities
- Develop and maintain a lead database
Preferred Qualifications
- Have experience in administrative roles
- Be able to work independently and as part of a team
- Be someone with strong experience who can create SOP, welcome letters, onboarding packages, and automation
- Be someone who is not afraid to make suggestions and be creative in helping scale business for growth
