Summary

Join Coalition, a leading Active Insurance provider, as an Executive Assistant to support C-Suite executives and enhance their productivity. This role requires strong organizational skills, attention to detail, and the ability to handle a high volume of tasks, including managing calendars, coordinating travel, and tracking expenses. You will be responsible for streamlining communication, key documents, and logistics, while fostering a positive and energetic company culture. The ideal candidate will have 8+ years of experience supporting C-level executives in a high-growth environment, possess excellent communication skills, and be proficient in Google Office Suite.

Requirements

  • 8+ years of C-level executive aid in a high growth environment (startup experience preferred)
  • Excellent organizational, finding a solution to problems and follow-up experience
  • Proactive, flexible and able to take initiative as needed. You are able to do the research, come up with ideas and make judgements
  • A clear and effective communication style when liaising with internal teams, as well as external business contacts (including investors and board members)
  • Must be equally comfortable dealing with ambiguity and taking direction from others
  • Excellent comprehension of Google Office Suite. You are comfortable refining presentations via Google Slides/Powerpoint and guiding data via Google Sheets/Excel
  • Devotion to confidentiality and integrity when handling delicate information
  • You must be passionate about the executive assistant role and assess the crucial impact you have on the organization

Responsibilities

  • Strategically and proactively handle calendar and daily schedules for multiple executives across all time zones. This will include:Β  overseeing and vetting a high volume of meeting requests, knowledge context and the bigger picture to make sound judgment with calendaring judgements, discerning priorities between conflicting meetings, and thoughtfully and proactively navigating last minute schedule changes
  • Organize and coordinate travel logistics including flights, ground transportation, preparing agenda, accommodations
  • Track and guide expenses with a accountability to budget adherence, review for compliance and coordinate approval
  • Collaborate by sharing ideas and offering assistance on various projects & functional events
  • Be a genuine champion for the team to strengthen a positive and energetic company culture
