Requirements

  • Proficient in Google (Gmail, Slides, Sheets, Docs), Microsoft Office Suite (PowerPoint, Excel, Word) & Zoom
  • Proven ability to work well independently, intuitively, and able to anticipate needs
  • Exceptional verbal and written communication skills, including the ability to effectively convey complex information and liaise between executives and various stakeholders
  • Excellent organizational skills, attention to detail, follow-through, and accountability
  • Able to multitask in a fast-paced start-up environment & with multiple time zones
  • 5-8+ years of experience

Responsibilities

  • Manage day-to-day calendars & organize meetings, appointments, expenses, and travel for the CIO & VP-level executives and their teams
  • Organize & handle incoming meeting requests and correspondence through multiple channels, and manage sensitive information with discretion
  • Review important tasks and identify/prioritize urgent matters that require an immediate response
  • Attend meetings to compile notes and complex data from meetings. Create and maintain various databases and spreadsheet files. Track progress and completion of action items and provide reminders
  • Plan and coordinate internal & external meetings in multiple time zones, as well as organize dinners and offsites. Frequent coordination & collaboration with our team in Israel will be required
  • Assist teams with presentations and various tasks as needed
  • Collaborate with other Executive Assistants on key company events, offsites, meetings, and executive scheduling
  • A key challenge for this role will be to support multiple time zones, including scheduling changes for team members operating in different parts of the US, Israel and Germany
