Summary

Join SimplePractice as an Executive Assistant to directly support the CEO and executive team. You will manage a highly active calendar, coordinate meetings, prepare correspondence, arrange travel, and handle sensitive information. This role requires strong organizational skills, proficiency in Microsoft and Google Workspace, and experience in executive administration or a related field. You will be responsible for managing all-hands meetings, including slide deck creation, and coordinating executive team events. The ideal candidate is detail-oriented, execution-savvy, and thrives in a fast-paced environment.

Requirements

  • 5+ years of experience in executive administration, project management, or related field
  • Experience handling sensitive company information
  • Someone who exhibits sound judgment with the ability to prioritize and make decisions
  • In-depth knowledge of Microsoft and Google. Proficiency in a broad array of online tools including spreadsheets and slide presentations
  • Excellent calendar management skills, including the coordination of complex executive meetings
  • A team player capable of cultivating productive working relationships across the company

Responsibilities

  • Complete a broad variety of administrative tasks such as: managing an extremely active calendar, submitting expense reports, composing and preparing internal correspondence, and arranging domestic travel
  • Work closely with the executives to keep them well informed of upcoming commitments and responsibilities, following up as appropriate
  • Manage executive’s external calendar and coordinate meetings with external stakeholders
  • Manage the shared Operations, Leadership, and Company-wide calendars, including coordination of meetings
  • Manage monthly all hands meetings including the creation of slide decks and managing stakeholders to complete the presentation. Also responsible for running the meetings via Zoom
  • Manage ELT and XLT team on-sites and events
