Requirements
- Proven experience as an Executive Assistant, preferably in a law firm or supporting lawyers
- Excellent organizational, time-management, and multitasking skills
- Strong attention to detail and the ability to manage multiple tasks efficiently
- Excellent written and verbal communication skills in both English and Spanish
- Proficiency in Microsoft Office Suite and office management software
- Ability to handle confidential and sensitive information with discretion
- Strong interpersonal skills and the ability to build relationships with clients and colleagues
Responsibilities
- Manage and prioritize the calendars, meetings, and appointments of attorneys, ensuring optimal scheduling and minimizing conflicts
- Handle day-to-day administrative tasks, including email management, phone screening, and correspondence
- Coordinate travel arrangements, accommodations, and logistics for attorneys as needed
- Prepare and organize documents, presentations, and reports for meetings, conferences, and client interactions
- Monitor and track deadlines, ensuring attorneys are informed of upcoming obligations and events
- Serve as a point of contact between attorneys, clients, and external partners, maintaining professional and efficient communication
- Maintain files, both physical and digital, ensuring that documents are organized and easily accessible
- Assist with event planning, such as client meetings, seminars, and team-building activities
- Perform general office duties such as managing office supplies, ordering equipment, and ensuring a tidy office environment
Preferred Qualifications
- Bachelorโs degree or equivalent experience in a related field
- Familiarity with the legal industry and terminology
- Experience with legal or law firm-specific management software (e.g., document management, case management tools)
