Requirements

  • Proficient with ChatGPT
  • Proficiency with Microsoft tools and O365
  • Adobe Tools experience
  • Excellent problem-solving skills
  • Canva, Google My Business, generalist experience
  • Experience with start-up businesses (wear multiple hats)
  • Ability to adapt and pivot when emergencies
  • 2+ years of experience in a legal administrative or legal assistant role
  • Strong communication skills, both written and verbal, with a professional client-facing tone
  • Familiarity with legal practice management software (CLIO preferred)
  • High attention to detail and organizational skills
  • Ability to handle confidential information with discretion
  • Comfortable working independently in a remote environment

Responsibilities

  • Answer and return incoming calls from prospective clients with professionalism and empathy
  • Vet potential clients through a structured intake process, collecting relevant case information and determining initial fit based on firm criteria
  • Schedule consultations for qualified prospects using the firm’s calendaring system
  • Promptly and accurately enter intake data into CLIO (practice management software)
  • Draft and send engagement letters to new clients following attorney instructions
  • Manage calendar and schedules for law firms and attorneys
  • Maintain and organize client records and documents in CLIO Manage
  • Assist in tracking the status of new client matters and following up on incomplete intakes
  • Support attorneys with administrative tasks such as formatting documents, managing deadlines, and preparing correspondence
  • Ensure all documentation complies with firm formatting and quality standards
  • Identify inefficiencies in administrative or intake processes and suggest improvements
  • Uphold best practices in data entry, file management, and client confidentiality
  • Review and summarize legal documents

Preferred Qualifications

  • Experience working with law firms or legal service providers in a virtual environment
  • Prior knowledge of intake vetting procedures and legal engagement processes
  • Familiarity with drafting and managing basic legal templates and documents
